How to Batch Update People with a Spreadsheet

Make changes to your officials in bulk, by following our batch update with a spreadsheet process.

If you want to make batch updates to your people, you can do so via spreadsheet import, which you can learn how to do below. πŸ‘‡

The Basic Process.

The general process for updating via spreadsheet looks like this:

  1. Download a spreadsheet of your people from the People β†’ All People page.

  2. Delete any rows of people that will not be changed.

  3. Edit your people data in the spreadsheet, then save it.

  4. Upload the updated spreadsheet into People β†’ All People.

Step-By-Step Instructions.

1. Download your existing people.

To do this, follow these steps:

1. Navigate to People β†’ All People.

2. At the bottom of the page, select Download As: CSV/Excel.

2. Update your exported spreadsheet of People.

To do this, follow these steps:

1. Open your downloaded spreadsheet in Excel, or the spreadsheet program of your choice.

2. Remove any people (rows) from the spreadsheet that you are not changing.

3. Make whatever changes you need to, to the people in the spreadsheet.

🚨 NOTE : be sure the Assignr Database ID column remains in the spreadsheet, and is not changed, as this column will be used by the platform to successfully make your updates.

4. Optional : Remove any columns that you are not changing. For example, if you are only changing first name, last name, and email, you can remove columns such as street, city, etc. Again, just be sure to leave that Assignr Database ID column. πŸ‘

Minimally, your spreadsheet might look something like this, assuming that you are only changing first name, last name, and email:

5. Once you have made the changes in the spreadsheet, save it to your computer.

3. Import your Updated Spreadsheet.

To do this, you'll want to follow these steps:

1. Navigate to the People β†’ All People page.

2. Select Import from Spreadsheet.

3. Select Choose File.

4. Select the updated spreadsheet you just saved.

5. Select Open.

6. Select Update File.

7. Map your spreadsheet's column headers with the Assignr field names.

A few things to note about this step:

  1. Double-Check Mapping. The platform will attempt to match your fields itself, but it's always a good idea to double-check for any errors.

  2. Skip This Column. For columns that will not be changed in your site, choose the (skip this column) option. This will ensure that this particular field is not updated for any of your people.

  3. Assignr Database ID. Last but not least, locate the Assignr Database ID column, and ensure that you choose Assignr Database ID (for update) in the corresponding dropdown. This tells the platform that your spreadsheet is an update of existing people, rather than an import of new people.

8. Select Submit.

Your people updates will now be reflected in the People β†’ All People page. πŸ‘

1. Can I batch update the Games in my site using this import process, as well?

Yes! Just follow the same steps as above, but from the Games β†’ All Games page, instead of the People page.

2. Can I use the batch import process to add people to Groups in bulk?

Yes! What you'll want to do is add a column to your exported People spreadsheet, titled Groups. From there, you can type in the name(s) of the groups you wish to add each official to, separating each group with a comma.

Be sure to include your Group names in your spreadsheet exactly as they appear under Maintenance β†’ Groups & Rules.
