How to Enable Electronic Signatures (E-Signatures)

If you're an assignor or administrator looking to allow their officials to sign documents through Assignr.

Electronic Signatures lets you collect signed documents from your officials — waivers, codes of conduct, background-check consent forms, and similar paperwork — right inside Assignr, without printing, scanning, or emailing PDFs back and forth.

If you don’t see an E-Signatures menu item, this feature isn’t turned on for your site yet. Contact Assignr support to enable it.

This guide has two parts:

  • For administrators and assignors — setting up documents, managing your subscription, and requiring documents before officials can be assigned.

  • For officials — signing a document you’ve been asked to sign.


For administrators and assignors

The E-Signatures menu:

Once enabled, you’ll see an E-Signatures section in the main menu with two pages:

  • Templates — the documents you’ve set up for officials to sign (visible only to owners/administrators).

  • Documents — your own personal signing queue, the same page every official sees (see For officials below). Administrators can be officials too, so this page always appears for you as well.

Adding a document template:

  1. Go to E-Signatures → Templates and select Add New Template.

  2. Give it a name and upload the file (PDF, Word document, image, etc.).

  3. Choose who needs to sign it:

    • All Officials

    • Only officials 18 years of age or over

    • Only officials under 18 years of age

  4. If the document needs a parent or guardian’s signature in addition to the official’s own, answer Yes to “Does this document require a parent signature?” — this option is only available when the document is restricted to officials under 18.

  5. Select Save. Assignr opens Signwell’s document editor so you can drop signature fields, initials, dates, and any other fillable fields into the document. When you’re done, close that window — your template is ready.

You can reopen the field editor at any time from the Template button next to a template, and edit its name, audience, or parent-signature setting from the Settings section.

Requiring a document before assignment & document expiration:

From a template’s Settings, you can turn on “Require this document to be signed before an official can be assigned”.

Once this is on, officials who haven’t signed that document — or whose signature has expired — show up with a Required Document conflict warning wherever other assignment conflicts in the assignment dropdown. This is a warning, not a hard block — you can still assign the official if needed.

Optionally, you can also set “Expires after (days)” so a signature only counts as valid for a limited time (for example, an annual background-check consent).

Leave it blank if the signed document should never expire. Changing this setting later only affects documents signed from that point forward — it does not retroactively expire signatures that are already on file.

Checking who has signed:

Select a template’s document count (e.g. “12 Requests”) to see every official who has a copy of that document, whether they’ve signed it, and to download their completed, signed PDF.

Your E-Signatures subscription:

E-Signatures has its own subscription, separate from your annual Assignr subscription — you’re billed per completed, signed document.

The Templates page shows a panel with:

  • Your current subscription Status (Active / Inactive / Free).

  • The per-document price, if applicable.

  • A Subscribe button if you don’t yet have an active subscription. Officials can’t sign documents until you subscribe (they’ll see a Subscription Required notice in place of the Sign Now button).

If your site has been granted free E-Signatures access, the panel shows Free and no pricing — you won’t be charged for any documents.


For officials.

Signing a document:

  1. Go to E-Signatures → Documents. You’ll see a list of every document your organization has asked you to sign, along with its status.

  2. Select Sign Now next to a document. This opens the document in a signing window where you can review it and add your signature, initials, and any other requested information.

  3. If the document also requires a parent or guardian’s signature and you’re under 18, you’ll first be asked for your parent or guardian’s name and email address — they’ll receive their own email invitation to sign.

  4. When you’re finished, close the signing window. The document will show as Signed, and once fully processed, a Download button appears so you can save a copy of the completed PDF for your records.

If you can’t sign a document:

  • Subscription Required instead of Sign Now means your organization hasn’t activated E-Signatures billing yet — contact your assignor or administrator.

  • If a document doesn’t apply to you (for example, it’s restricted to officials under 18), it simply won’t appear in your list.

  • If a required document has expired, it will reappear in your list for you to sign again.
