When an individual no longer needs access to the system, as an assignor, you can deactivate or delete an official to remove their access.
Active Users versus Deactivated Users —
Assignr uses the Is Active? checkbox to determine head count for each user type.
If you are on a per-official plan, and the Is Active? checkbox is checked, as you see above, and the Official checkbox is checked under the Permissions section of their profile, as shown below, then the individual will count towards the total number of officials for your site.
On the other hand, if the Is Active? checkbox is unchecked, as you see below, the user will not count towards your site's official headcount (even if the Official checkbox is checked under the Permissions section of their profile).
How to Deactivate a User —
To deactivate a user:
Select People → All People.
Find the person's name in the list, and select their name.
Select the Edit button.
Under their name, uncheck the Is Active? checkbox.
Select Save.
How to Delete a User —
If you would rather remove an individual completely from Assignr, then you can delete their account.
Select People → All People.
Find the person's name in the list, and select their name.
Select Delete.
Frequently Asked Questions — Deactivating Users
1. What's the difference between deactivating a user and deleting a user?
Deactivating a user ensures that the user is not deleted, but also does not have access to their account as long as they remain deactivated. This is best used for scenarios where you either do not want to lose the historical data tied to the user, and/or anticipate wanting to reactivate their account at a later time.
Neither deactivated accounts nor deleted users count towards your user headcount.
2. If a user has no permissions checked, as shown below, will they be considered deactivated?
Not necessarily. You'll still want to uncheck the Is Active? checkbox, at the top of the profile-edit screen, in order to ensure a user is definitely deactivated.
3. I am on a per-official plan. If I deactivate some officials and activate other officials mid-season, how does this affect my site's headcount?
If you deactivate some officials, then activate other officials, your official headcount will go down and up accordingly.
You are welcome to adjust which officials are active or not throughout the season, as long as you stay at or below the threshold of officials that your current plan allows for.
If at any point you try to have more active officials than your site's current plan allows for, you'll run into an error message and be prompted to upgrade/purchase more official seats.
