How to Add a Game Individually

There are two ways to add Games to your site:

  1. In Bulk. By importing games from a CSV (Excel) spreadsheet.

  2. One at a time. By adding games one-at-a-time from the Games screen.

To add a game to your site (one at a time), follow these steps:

1. Select the Games menu, then select All Games.

2. Select + New Game.

3. Add Game info into Required Fields.

Date β€” the date of the game. The format is flexible, and can accept dates like 6/25/2023, 25-Jun-2023, Tomorrow, Sunday, June 25, or 2022-06-25.

Start time β€” the time the game starts. Start time formats are also very flexible. Any of these will do: 3pm, 3:00 PM, 15:00.

Venue β€” the location where the game is played.

πŸ’‘ The system will prevent you from adding duplicate games by ensuring no two games have the same date, time, and venue. πŸ‘

Age Group β€” determines the level of play; controls the game fees; and controls whether an official should be assigned to the game based on the official’s ability page.

Home Team & Away Team β€” the teams playing the game.

Pattern β€” the officiating pattern, which determines the number and type(s) of officials assigned to this game.

Paid By β€” the entity responsible for paying the officials. This field will only be shown when using the Financial Module or paying officials via Direct Deposit.

4. Optionally, add Game info into Optional Fields.

Sub-Venue β€” A specific location within the main venue you selected. For example, Field 6, Court 3, or Main Gym.

League β€” If you have League Conflicts set up, you can use the League section to ensure certain official(s) that have conflicts with certain league(s) do not get assigned to those league's games.

Gender β€” select from the dropdown.

Game Type β€” select from the dropdown.

Game ID β€” An optional Game ID can be assigned to each game. The game ID can be anything (alphanumeric), but must be unique among all of your games.

Status β€” A game can have one of three statuses: Active, Canceled (no pay), or Canceled (with pay). New games default to being active. When Canceled (no pay) is selected, billing and payroll reports will automatically set the pay rate to zero. If the status of an existing game changes from active to cancelled, or vice versa, assigned officials will be notified.

Published β€” New games default to being Not Published. As long as a game remains not published, it will not be visible to people, including any officials assigned to it. You can learn about all the ways to publish a game here.

Notes (Visible to All) β€” These notes are visible to anyone that can view this game, including officials assigned to it.

Assignor Notes β€” These notes are visible internally, to assignors only.

πŸ’‘ Both notes fields are visible (to their corresponding audiences) in the following places:

  1. On the main Games page.

  2. On a game's detail screen, within the main Games page. To view this, select Show to the right of whatever game you wish to see notes for.

  3. Via email. Notes visible to all are included in official assignment notification emails, and in reminder emails.

7. Select Save.
