How to Grant Users Payor Permissions

This article is intended for administrators or assignors of sites looking to grant those involved in direct deposit access to their payors.

A Review of How to Set Up Direct Deposit:

There are several steps you need to complete in order to set up direct deposit on your site:

  1. πŸ‘‰ OPTIONAL: Grant the person in charge of pushing payments through access to your Payor.

  2. Set Up your Payment Account within your Payor.

  3. Activate direct deposit, by purchasing a direct deposit plan.

This article covers step 3 of 6: granting users payor permissions. Be sure you've completed all the necessary steps above this one, prior to completing the steps in this article.

When to Complete this Step (and When to Skip It):

If someone else will be pushing the payments through to officials, you'll want to complete this step, and grant them Full Control of the Payor you just created. This will also allow the user to complete the remaining direct deposit set-up steps, outlined above.

How to Grant Users Payor Permissions:

This is a two-step process. First, you'll need to add the user to your site under the People page. Next, you can grant that user payor permissions, under the Financials page.

1. Add the user to your site as an Observer or Assignor.

Typically, people involved in the direct deposit process should have Observer permissions. If the person involved in direct deposit also happens to also be an assignor, then you can grant them Assignor permissions instead. If the user is also an official, it is okay for the user to have both Official and Observer permissions.

2. Grant the user Payor Permissions.

To do this, follow these steps:

a. Select Financials β†’ [Your Payor Name].

b. Select Settings β†’ Permissions.

c. Select + Add Permission.

d. From the dropdowns, select the User and level of Permission you wish to grant them.

e. Select Save.

2. I want a user to have limited control over direct deposit; not full control. What other levels of payor permissions exist?

The following table outlines the different types of payor permissions you can grant users, depending on their level of involvement in the direct deposit process.

Permission Type

Description of Permission

Full Control

User has full capabilities to manage all aspects of payor, including payor setup, bank transfers, permissions, and paying officials.

View

User can view payor information but cannot make changes to it.

Manual Entry

User can manually add a statement or mark a statement as paid. User cannot access bank information.

Initiate ACH Payments

User can initiate an ACH payment, but does not have access to bank account or transfers.

Manage Statements

User can manage statements, but does not have access to bank account or transfers.

Hiring Manager

User can manage the hourly module within the payor.

Manages 1099s

User can manage the 1099s within the payor.

3. How do I revoke someone's payor permissions?

To remove someone's payor permissions, follow these steps:

  1. Select Financials β†’ [Your Payor Name].

  2. Select Settings β†’ Permissions.

  3. Select the specific person's permission you want to revoke.

  4. Select Yes, revoke permissions.
