How to Set up Events

This article is for any assignors or administrators setting up Events or Tournaments for their site.

Many organizations on our platform host various events or tournaments throughout the year. Our Events feature was created with this in mind.

Events are similar to our Officials Lists functionality, in the sense that they allow you to create lists of officials β€” but for specific events instead.

An Overview of Events:

Here's a summary of how the Events process typically works:

  1. Create your Event. Under Maintenance β†’ Events, add an Event.

  2. Add Officials to your Event. Within said event, add the officials who are eligible to work it.

  3. Tie Games to the Event. For games associated with this event, add the event in the game's Event field.

  4. Assign Officials to Event's Games. When assigning games associated with an event, you will only see people that are part of that event's list in the assigning dropdown.

Let's go over this process in greater detail.

How to Set Up an Event:

1. Create your Event.

1. To create an event, navigate to the Maintenance β†’ Events menu item.

2. Select + Add New Event.

3. Enter the event information on-screen.

πŸ’‘An active event will limit the officials that show up in the assigning drop down for any games tied to this event.

4. Select Save.

2. Add Officials to your Event.

1. To add officials to your event, select the person icon next to the event.

2. Select the officials who are qualified to work the event.

3. From the upper right-hand corner, select Save.

3. Tie Games to your Event.

You can tie games to your event in one of two ways:

  1. One game at a time,

  2. Or in bulk, via spreadsheet import.

One Game at a Time.

If you are adding or editing your games one-by-one, simply select the event name from the event drop down. Then select Save.

In Bulk, via Spreadsheet Import.

If you are adding or editing your games via spreadsheet, in your Event column, enter the event name in any rows of games that are part of the event.

When you go to import your games, be sure to tie the Event column to the Assignr Event field name.

4. Assign Officials to Event's Games.

When assigning games for your event, you'll notice only the officials you added to your event in step two above will show up in the assigning dropdown.

1. I'm assigning a game tied to an event. Why are no officials showing up in my assigning dropdown?

If the list for an event is empty, then no officials will show up in the assigning dropdowns, for games tied to that event.
