Quick Start for Assignors

To all assignors reading this: welcome!

On this page you’ll find everything you need to know, in order to get your site set up and start assigning officials.

Assuming you’ve already created and logged into your account, here’s a high-level overview of what should happen next. 👍

Add officials to your site.

By Spreadsheet, or Individually.

You can add officials to your site by navigating to the People section of your account, and following the on-screen prompts.

There are two ways you can import officials:

  1. In Bulk. By importing officials from a CSV (Excel) spreadsheet.

For step-by-step instructions on each of the two options, select the link(s) above.

Push new account emails out to officials.

Once you’ve added your officials to the site, you’ll want to send them their login info, so they can access their accounts.

Most assignors send out everyone’s login credentials in bulk. To do this, navigate to the People section of your account, select the Send New Account Emails button in the highlighted banner at the top of the screen, and follow the on-screen prompts.

Wait.

While your officials log in & add their availability.

After an official logs in, they’ll be able to add their availability to their profile.

This will help ensure you'll avoid any scheduling conflicts when assigning them to games.

Add games to your site.

This step can really be done in conjunction with the waiting step above. 😏👆

Either way, eventually you’ll want to add games to your site. Similar to adding officials, there are two ways you can do this:

  1. In Bulk. By importing games from a CSV (Excel) spreadsheet.

  2. One at a time. By adding games one-at-a-time.

Select the links above for in-depth instructions on each option. Otherwise, head over to the Games section of your account, and follow the on-screen prompts for whichever option you’d like to go with.

Optional: set up game fees.

Game fees are the rate or amount that officials are paid per game. We recommend setting up game fees if you plan to:

  1. Pay officials through the system.

  2. Or keep a record of how much officials are owed, to then pay them those amounts later through your payment processor.

In the system, game fees are determined primarily by a game's Age Group and Pattern.

💡 A Pattern breaks down the number of officials and types of officials needed at a particular game. For example, some of your games might need only one referee, but others will need one referee and two assistant referees.

To set up game fees, set up your patterns first, under Maintenance / Patterns, then set up Game Fees under Maintenance / Ages & Fees.

Assign officials to games.

At this point, you have your officials in the system. ✔️

You have your games in the system. ✔️

Now comes the fun part… assigning your officials, to work the games.

To assign your officials to games, navigate to the Games / Unassigned section of your account. Here you’ll (unsurprisingly) find all games that still need to be assigned to officials.

From here, scroll to the game you’d like to assign officials to, select Assign, select who you’d like to work what positions from the dropdowns, and select Save.

Publish your games.

Officials will not be able to see the games they’re assigned to until you publish their games. Publishing a game is what will trigger officials’ notifications of their new assignments.

To publish a game, after you assign officials to a game, simply select that game's Publish button.

Wait again.

While officials accept or decline their assigned games.

Assigned officials will receive daily email notifications asking them to confirm their game assignment, until they accept or decline the assignment.

You’ll receive a daily summary of newly accepted game assignments. If an official declines an assignment, you’ll receive an email immediately.

If needed: reassign declined games.

If an official declines to work a game they were assigned to, you’ll want to reassign the game to someone else instead.

Wait (for the last time!)

For officials to submit a game report after the game.

As an assignor, you can use the Game Reports feature for a few different purposes:

  1. to make sure all officials showed up for the game.

  2. to see the game score.

  3. to collect comments or a game narrative from the officials.
